Contractors Flow Pro is operated by GESIC Computers USA LLC, doing business as Contractors Flow Pro (“Contractors Flow,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, use our workspace, communicate with us, or otherwise interact with us.
If a business customer submits personal information to the Service about its employees, customers, prospects, or other contacts, that business is generally responsible for determining why and how that information is used. In that context, we process the information on the customer’s behalf as described in our Data Processing Addendum.
1. Personal information we may collect
Depending on how you interact with Contractors Flow Pro, we may collect:
- Account and contact information: names, business names, usernames, email addresses, phone numbers, job titles, and login or account-administration information.
- Business workspace information: customer contact details, property addresses, quote details, job information, service-catalog items, invoice information, payment-status records, and business communications submitted by a customer.
- Transaction information: subscription plan, payment status, billing address, and payment-related identifiers supplied by a payment processor. We do not collect or store full payment-card numbers in the Service; payment-card information is collected and processed by the payment processor presented at checkout.
- Usage and device information: log data, approximate location derived from IP address, device/browser information, pages or features used, referring URL, timestamps, and diagnostic information.
- Communications: questions, support requests, feedback, and other information you send to us.
- Cookies and similar technologies: identifiers and preferences used to operate, secure, remember, measure, or improve the website and Service, including Google Analytics measurement technologies described below.
2. How we use personal information
We may use personal information to:
- provide, authenticate, secure, maintain, and support the Service;
- create and administer accounts and workspaces;
- process subscriptions, payments, refunds, and related communications;
- respond to inquiries and communicate about service, account, support, security, and policy matters;
- monitor performance, troubleshoot errors, prevent fraud and abuse, and protect our users and systems;
- analyze and improve the Service, including through aggregated or de-identified information where appropriate;
- comply with law, respond to lawful requests, and enforce our agreements; and
- send marketing communications where permitted by law and subject to available opt-out choices.
3. How we disclose information
We may disclose personal information to:
- service providers and subprocessors that help us host, operate, support, communicate about, back up, measure, or process payments for the Service, subject to contractual obligations appropriate to their role. Our current service-provider categories include hosting/server operations, PostgreSQL database technology, Google Cloud backup services, Brevo email services, Google Analytics, and Stripe payment processing. - business customers and authorized users when information is part of their workspace or account;
- professional advisers, auditors, insurers, and financing sources where necessary for legitimate business operations and subject to confidentiality obligations;
- government authorities, courts, or other parties when required by law or when we reasonably believe disclosure is necessary to protect rights, safety, security, or property; and
- successors to our business in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction.
We do not authorize service providers to use personal information for their own independent purposes except where they act under their own terms and privacy notice, such as a payment processor or analytics provider, or where applicable law permits another use.
4. Customer-controlled information
Business customers control the customer, employee, property, quote, job, invoice, and other data they enter into their workspace. If your information was submitted by one of our business customers, contact that customer directly to request access, correction, deletion, or another privacy action. We will assist the customer as required by applicable law and our agreement with that customer.
5. Cookies and choices
We use necessary cookies and similar technologies to operate and secure the website and Service. We also use Google Analytics to understand aggregate website use and improve the Service. We do not use advertising pixels or remarketing providers based on the current configuration. Your browser may allow you to remove or block cookies, but some features may not function properly if you do so. You can also use Google’s available controls for Google Analytics.
6. Retention
We retain personal information for as long as reasonably necessary to provide the Service, meet legal, accounting, dispute-resolution, and security obligations, and enforce our agreements. After service termination, Customer may export available workspace data for thirty (30) days. We delete Customer Data from active systems within sixty (60) days after that export period ends, unless law requires longer retention. Backup copies may remain until deleted or overwritten in the ordinary course, for up to ninety (90) days after deletion from active systems. We may retain account, billing, support, and security records longer where reasonably necessary for legal, accounting, dispute-resolution, fraud-prevention, or security purposes.
7. Security
We use administrative, technical, and organizational measures designed to protect personal information, including serving the public website over HTTPS and maintaining account and backup processes for the Service. No system or transmission is completely secure, however, and we cannot guarantee absolute security. You are responsible for safeguarding credentials and using the Service in a way that protects the information in your workspace.
8. International data transfers
The Service is offered to U.S. customers. We and our service providers may process information in the United States and in other locations where our service providers operate. We do not currently offer the Service to customers in the EEA or United Kingdom. If that changes, we will evaluate and implement any required transfer safeguards before expanding those offerings.
9. Your privacy rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of your personal information; to object to or restrict certain processing; or to withdraw consent where processing is based on consent. You may also have a right to appeal a privacy-rights decision. These rights are not absolute and may be limited by law.
To make a request, contact us at legal@contractorsflowusa.com. We may need to verify your identity and authority before acting. If your information is controlled by one of our business customers, please direct the request to that customer first.
Where applicable law provides an appeal right, you may appeal a decision about your request by replying to our response and stating that you are submitting a privacy appeal. We will review the appeal and respond within the period required by applicable law. We do not use advertising pixels or remarketing providers based on our current configuration. If applicable law treats a processing activity as a sale, share, or targeted-advertising activity, we will provide the notice and choice required by that law.
10. Children’s privacy
The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from children under 13, or a higher minimum age where required by law. If you believe a child has provided information to us, contact us so we can take appropriate action.
11. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make a material change, we will provide notice through the Service, by email, or by another appropriate method. The updated policy will identify its effective date.
